When Does a First Aid Certificate Expire in South Africa?

A first aid certificate does not have one universal expiry period that applies automatically to every course in South Africa. Employers should check the expiry date printed on the certificate, the training provider’s rules, any applicable sector requirement and the workplace’s own risk assessment. Many providers use a three-year validity period, but the certificate itself and the current approval framework are the safest starting points.

What South African workplace rules require

General Safety Regulation 3 requires employers to provide suitable first aid equipment and, where more than ten employees are employed at a workplace, to ensure that at least one person with a valid first aid certificate is readily available during normal working hours for every group of up to 50 employees, or up to 100 employees in a shop or office. Additional first aiders may be necessary because of shifts, remote work areas or higher-risk activities.

The regulation focuses on a valid certificate of competency. It does not create a simple rule that every first aid certificate always expires after the same number of years. Approval requirements for training organisations and the conditions attached to a specific programme also matter.

How to confirm whether a certificate is still valid

  • Read the issue and expiry dates shown on the certificate.
  • Confirm that the issuing provider and programme met the applicable approval or accreditation requirements when training was completed.
  • Ask the provider to verify the learner record if the certificate is unclear, damaged or cannot be authenticated.
  • Check whether a client, industry body, collective agreement or site specification requires more frequent refresher training.
  • Review whether the employee can still perform the required practical skills confidently.

Why employers should not wait until the last day

Training capacity, employee leave and operational schedules can make last-minute renewals difficult. A training matrix should flag upcoming expiry dates at least 60 to 90 days in advance. Employers should also arrange coverage while a designated first aider is absent, working another shift or assigned away from the normal workplace.

Keep copies of certificates, attendance records, provider details and refresher dates in the workplace training file. For construction projects, relevant proof may also form part of the health and safety file.

When refresher training should happen sooner

An earlier refresher may be sensible after a serious incident, when an employee has not practised the skills for a long period, when the workplace risk profile changes or when a client imposes a stricter competence requirement. Refresher training supports practical readiness; it should not be treated only as an administrative renewal.

Build first aid into the wider emergency plan

First aiders need accessible equipment, clear escalation procedures and reliable communication with emergency services. Employers should inspect first aid boxes, display emergency contacts and test arrangements through drills.
